Kinsome Studio ("Kinsome", "we", "us", "our") is committed to protecting your privacy. This policy explains what personal data we collect, why we collect it, how we use it, and what rights you have over it. It applies to visitors to kinsome.studio (our "Site"), our members, workshop and event attendees, and anyone who contacts us.
We are the data controller for the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018).

1. What information we collect
We collect information in the following ways:
Information you give us directly
  • Name, email address, phone number, and postal/billing address
  • Payment and billing details (processed by our payment provider — see Section 5)
  • Membership application details, including how you describe your practice or work
  • Content you submit, such as messages, forms, event sign-ups, or feedback
  • Photos, audio, or video you create or that we capture during sessions, camps, or events (with consent)
Information collected automatically
  • IP address, browser type, device information, and general location
  • Pages visited, time on site, and referring pages (via analytics tools — see our Cookies Policy)
Information from third parties
  • If you sign up via a partner platform (e.g. Bookeo, Eventbrite), we may receive your booking details from them
  • Payment confirmation details from our payment processor
2. How we use your information
We use personal data to:
  • Process membership applications, bookings, and payments
  • Provide access to the studio, equipment, and programming (including Kloud sessions and retreats)
  • Communicate with you about your membership, bookings, or enquiries
  • Send newsletters or marketing updates, where you've opted in
  • Improve our Site, services, and programming
  • Meet legal, accounting, and safeguarding obligations
  • Protect the safety and security of our members, staff, and premises (e.g. via access control and studio cameras)
3. Our legal basis for processing
Under UK GDPR, we rely on one or more of the following:
  • Contract — to provide membership, bookings, or services you've signed up for
  • Consent — for marketing communications, photography/recording, and non-essential cookies
  • Legitimate interests — to run and improve Kinsome, keep our space secure, and understand how our Site is used
  • Legal obligation — for tax, accounting, and safety record-keeping
4. Sharing your information
We do not sell your personal data. We may share it with:
  • Service providers who help us run Kinsome — e.g. payment processors, booking software (such as Bookeo), email/newsletter platforms, and cloud storage providers
  • Professional advisors — accountants, insurers, or legal advisors where necessary
  • Authorities — where required by law, or to protect the safety of our community
  • Grant funders or partners — only where required for reporting, and only with anonymised or aggregated data unless you've agreed otherwise
Any third parties we work with are required to handle your data securely and only use it for the purposes we specify.
5. Payments
Payments are processed by Stripe. We do not store full card details ourselves. Please refer to your payment provider's own privacy policy for details of how they handle your data.
6. Studio security and CCTV
Our studio uses smart cameras and access control systems for security purposes. Footage is used only for security and safeguarding and is retained for 4 weeks before being automatically deleted, unless needed for an ongoing investigation or legal matter.
7. How long we keep your data
We keep personal data only as long as necessary:
  • Membership and booking records: for the duration of membership plus 1 year for accounting purposes
  • Marketing contact details: until you unsubscribe or ask us to delete them
  • CCTV footage: as set out in Section 6
  • Enquiry/contact form submissions: up to 12 months unless a relationship develops
8. Your rights
Under UK GDPR, you have the right to:
  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request deletion of your data ("right to be forgotten")
  • Restrict or object to certain processing
  • Data portability
  • Withdraw consent at any time (e.g. unsubscribing from marketing)
To exercise any of these rights, contact us at hello@kinsomestudio.com. You also have the right to complain to the Information Commissioner's Office (ICO) if you believe your data has been mishandled.
9. International transfers
Where any of our service providers store data outside the UK/EEA, we ensure appropriate safeguards are in place (such as Standard Contractual Clauses) to protect your data.
10. Children's data
Kinsome's programming is aimed at adults. We do not knowingly collect personal data from children under 16 without appropriate parental/guardian consent for specific youth-oriented programming, should it occur.
11. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top shows when it was last revised. Significant changes will be communicated to members directly.
